Members
Inviting, changing a role, deactivating, removing.
Member management is the settings landing page. In the sidebar the entry reads „Mitglieder“ (Members), the page title „Einstellungen“ (Settings).
Owners and admins only. A member gets a "not found" page on a direct request.
The page has four blocks: an allowance notice where needed; the header „Arbeitsbereich“ (Workspace) with name and address; the card „Mitglieder (N)“ with the table; and the card „Einladungen“ (Invitations).
Name and address
The „Arbeitsbereich“ header shows both as text. The owner changes them with „Bearbeiten“; in the dialog each field saves on its own.
- Name: up to 80 characters. It appears in the sidebar and in invitations.
- Address: the short form of lower-case letters, digits and hyphens, up to 40
characters. It appears in the
{workspace}placeholder of export naming; files already produced keep their names. An earlier address stays reserved for your workspace: no other workspace gets it, and you can switch back to it. The address can be changed at most three times a day.
While an SSO connection exists, a disabled one included, the address stays fixed. It is part of the sign-in address for the company account, which may already have been handed out.
Both changes appear in the audit trail.
The signed-in product speaks German, so its labels and messages are quoted in German throughout, with the English rendering in italics.
The table
Columns: „Name“, „E-Mail“, „Rolle“ (Role), „Seit“ (Since). Sorted by role — owners first, then admins, then members — and within a role by joining date, oldest first.
Deactivated rows carry the tag „Deaktiviert“ and are dimmed.
The action menu appears only where the action is permitted — never on your own membership, and on an owner only if you are an owner yourself.
Changing a role, deactivating, removing
Changing a role. The menu offers „Rolle: Inhaber“, „Rolle: Admin“ and „Rolle: Mitglied“ — without the current one, and „Rolle: Inhaber“ only if you are an owner yourself. For a deactivated member no role is offered; it has to be reactivated first.
When an owner or admin becomes a member and thereby loses sight of restricted projects, the page asks first and names the projects they will no longer see. Without such projects the role changes without a question.
„Deaktivieren“ and „Reaktivieren“ are the same entry, its label following the state. Deactivating suspends the access to restricted projects and the membership in groups; reactivating restores both.
„Entfernen“ (Remove) always asks first. The dialog „Mitglied entfernen“ names the consequences:
Name wird dauerhaft aus dem Arbeitsbereich entfernt. Eine Rückkehr ist nur über eine neue Einladung möglich. Hochgeladene Assets bleiben im Arbeitsbereich. Zugriffe auf eingeschränkte Projekte und Gruppenmitgliedschaften entfallen.
Name will be permanently removed from the workspace. Returning is only possible through a new invitation. Uploaded assets stay in the workspace. Access to restricted projects and group memberships lapse.
Afterwards the page reports „Mitglied reaktiviert.“, „Mitglied deaktiviert.“, „Mitglied entfernt.“ or „Rolle geändert zu …“, and the table shows the new state at once.
The change takes effect on the next request. Anyone without an active membership lands on a „Kein Zugang“ (No access) page.
Inviting
Enter an address, pick a role, „Einladen“ (Invite). Only „Mitglied“ and „Admin“ are offered — the owner role cannot be granted by invitation. The address is lower-cased, and the invitation is valid for seven days.
An email is only sent to addresses without an existing account. If the address already has one — in any workspace — none is sent. The person then sees the invitation in verstag after signing in and accepts it there with „Annehmen“ (Accept). That requires a confirmed e-mail address.
If the workspace signs in through your company, the form names the domains whose addresses join through the company account. With SSO enforced, other addresses cannot be invited — see invitations under SSO.
Inviting a deactivated person again reactivates their membership. They get their previous role back, along with their former access to restricted projects and their groups. The role in the invitation does not count then. Through the company account this does not apply, and with SSO enforced there is no other way: reactivate the person in the table there.
Deactivating or removing a person revokes their open invitations to this workspace. They come back only through a new invitation.
The invitation link exists only in the e-mail. verstag shows it nowhere and stores it only in unreadable form, so that nobody but the invited person can redeem it. Where no mail arrives, „Erneut senden“ (Send again) sends a new one.
Anyone inviting in quick succession is briefly held back: „Zu viele Versuche in kurzer Zeit. Too many attempts in a short time. Please wait a moment and try again.)
Open invitations
They are listed below, each with role and expiry date, „Erneut senden“ (Send again) and a two-step „Widerrufen“ (Revoke). Only invitations that are open and not yet expired are shown — expired ones disappear by themselves.
„Erneut senden“ sends a new e-mail with a new link and makes the invitation valid for another seven days. The link from earlier mails no longer works after that.
Creating, resending and revoking appear in the audit trail.
When no seat is free
Then the invite form does not appear. In its place stands a notice in one of two versions:
- More than one active member: „Alle gebuchten Sitzplätze sind belegt.“ (All booked seats are taken.) with both ways out — deactivate somebody, or extend the allowance.
- Exactly one active member: only the allowance route.
If a seat is taken between page load and submit, the invitation still fails on submit. The refusal then appears as a card with the figures.
When an action is refused
These sentences reach you as a message:
Der letzte aktive Inhaber ist geschützt (nicht degradieren, deaktivieren oder entfernen).
The last active owner is protected (do not demote, deactivate or remove).
Du kannst deine eigene Mitgliedschaft nicht ändern.
You cannot change your own membership.
A deactivated member's role cannot be changed — please reactivate first.
Only an owner may manage an owner or the owner role.
Keine Berechtigung für die Mitgliederverwaltung.
No permission for member management.
The protection of the last active owner means three paths at once: demoting, deactivating and removing each check whether an active owner would remain.
Changing a role to the one already set changes nothing and reports no error.
